How to track post‑dated rent cheques (PDCs)
In the UAE, tenants usually pay a year's rent with a set of post‑dated cheques, often 1 to 12 per lease. A property manager with 200 units can hold well over a thousand cheques a year. This guide shows what a PDC register needs to record, the statuses that keep it honest, and the point where a spreadsheet starts to cost you time.
What a PDC register must record
Each row is one cheque. Keep these columns, in this order, and fill them when the cheques are received, not when they are due:
| Column | Why it matters |
|---|---|
| Cheque number and drawer bank | Identifies the cheque at the bank and on a return memo. |
| Cheque date and amount | Drives the weekly deposit list and the landlord totals. |
| Tenant, unit and lease (Ejari) reference | Lets anyone find every cheque for one lease. |
| Landlord and landlord's bank account | Cheques are deposited into the landlord's (beneficiary's) account, so deposits are grouped by it. |
| Status and status date | Shows where the cheque stands today (see below). |
| Replaces / replaced by | Links a replacement cheque to the one that bounced, so the rent is counted once. |
| Who changed it, and when | Answers "who marked this as deposited?" without a meeting. |
Five statuses are enough
- Received: in your safe, not yet due.
- Deposited: presented to the bank, waiting for clearing.
- Cleared: funds credited to the landlord's account.
- Bounced: returned unpaid by the bank. Keep the original cheque and the bank's return memo.
- Replaced: a bounced cheque that has been settled by a new cheque or another payment, linked to it.
Every cheque should be in exactly one status. If your sheet uses colours or free‑text notes instead, two people will read the same row differently.
A weekly routine that works
- Monday: list every cheque dated this week, plus any earlier cheque still marked Received. Group the list by landlord bank account and deposit it. Our weekly PDC deposit schedule guide covers this step.
- During the week: mark each cheque Deposited when it goes to the bank, and Cleared when the landlord's statement shows the credit.
- Same day as a return: mark it Bounced and start the follow‑up described in what to do when a rent cheque bounces.
- Month end: send each landlord a statement: cleared, deposited and still in hand, cheque by cheque.
When Excel is fine, and when it is not
A well‑kept spreadsheet is fine for a few dozen units managed by one person. It starts to fail in predictable ways as the portfolio grows:
- Double counting: a bounced cheque and its replacement both appear as rent received unless someone remembers to adjust the totals.
- No history: a cell overwritten from "Received" to "Deposited" leaves no trace of who did it or when.
- Fragile landlord totals: pivot tables and filters break when a row is inserted or a landlord changes bank account.
- Several copies: the accounts team, the leasing team and the owner each keep "the" sheet.
- Renewals: lease end dates sit in the same file but nothing reminds you 120 days ahead.
If two or more of these sound familiar, move the register to a tool that enforces one status per cheque and keeps a change log. You can keep your Excel columns: import them rather than retyping.
Questions property managers ask
What is a PDC in UAE property management?
A PDC is a post-dated cheque. In the UAE, tenants commonly pay rent with a set of cheques dated across the lease, which the property manager keeps and deposits on or after each cheque date.
What should a post-dated cheque register include?
One row per cheque with the cheque number, drawer bank, date, amount, tenant, unit, lease reference, landlord and landlord bank account, a single status, a link to any replacement cheque, and who changed it and when.
Can I keep tracking rent cheques in Excel?
Yes, for a small portfolio run by one person. As units and team members grow, spreadsheets tend to double count replaced cheques, lose the history of changes and break landlord totals. That is usually the point to move to a dedicated register.
How often should rent cheques be deposited?
Most teams run one deposit batch a week, on a fixed day, covering every cheque dated that week plus any older cheque not yet deposited.
